Relationship with Shoeboxed and Shoeboxed Mail-In

Shoeboxed Mail-In, also known as Shoeboxed Receipt Mail-In, is an extension of the services of Shoeboxed.com, a website owned and operated by Shoeboxed, Inc. (henceforth called Shoeboxed, “we”, or “us”)

It is important to remember that you have already agreed to the terms and conditions set forth for the website. You can find them at https://www.shoeboxed.com/terms. You can also find our Privacy Policy at https://www.shoeboxed.com/privacy. Below are additional terms that extend the agreement between you and Shoeboxed via Shoeboxed Mail-In.

When you (“you,” or the “User”) use Shoeboxed Mail-In’s services, products, and website, you enter into a legal agreement with Shoeboxed, Inc..

Unless Shoeboxed agrees with you in writing that your individual terms and conditions are somehow different from the ones outlined in this document (henceforth called the “Terms”), you are bound by this document when using the Shoeboxed Mail-In’s services, products, and website.

When using the Services, the Terms form a legally binding agreement between you and Shoeboxed. Take time to read them carefully.

Shoeboxed maintains the right to change or replace the Terms at any time, at its sole discretion. You are responsible for checking and reviewing the Terms regularly to keep updated to any such changes.

Your Account

Shoeboxed Mail-In is a paid service whereby you mail receipts and/or business cards, which they are scanned and processed by Shoeboxed employees into your online Shoeboxed account.

Shoeboxed Mail-In has several different account levels, and the benefits, requirements, and features are different among the plans. It is your responsibility to educate yourself about how the plans differ before purchasing a membership.

If you sign up for a plan that includes the provision of Shoeboxed envelopes in which to mail your receipts and business cards, we will send you an envelope when you sign up, when we receive an envelope back from you and finish processing it, or when you request a new one. You may request a new envelope if it has been lost, stolen, or damaged.

If you sign up for a plan that does not include the provision of Shoeboxed envelopes, you are responsible for mailing them to us in your own envelopes with postage that you provide. You should send your envelopes to P.O. Box 1411, Durham, NC, 27702.

Shoeboxed Mail-In must be paid for prior to the start of your service and must be paid for with a credit card, debit card, or electronic check. If paying with a credit or debit card, you can pay through our online registration system or over the phone by calling 1-888-369-4269. If using an electronic check, you must order over the phone by calling 1-888-369-4269.

Shoeboxed may change the fees and charges in effect, or add new fees and charges from time to time, but you will be notified in advance if regular charges increase and will be required to opt-in to new pricing. If you are a Shoeboxed Mail-In member when Shoeboxed Mail-In charges change, you will have the option of staying on your payment plan.

You may cancel your account at any time by sending an e-mail requesting account cancellation to mail-in@team.shoeboxed.com or calling Shoeboxed at 1-888-369-4269.

You may cancel your Shoeboxed Mail-In account at any time and your recurring billing schedule will be ended. There is no cancelation fee, but you are responsible for charges already incurred up until your cancellation, including the pre-payment of the current month of service you have. Shoeboxed is unable to issue refunds after payment is received. Shoeboxed is unable to prorate Shoeboxed Receipt Mail-In, so charges must be paid in full. Refunds may not be given for lost envelopes, or services and privileges associated with them.

Most Shoeboxed Mail-In plans have a monthly limit on the number of receipts you may send in per month or as part of a bulk scan (also known as catch-up scan) order. If you send in more receipts than your plan allows, you will be charged a bulk rate, which is specific to your plan level.

If you are a Lite user, receipts over your Monthly or Annual limits are $.30 per scan. If you are a Classic user, receipts over your Monthly or Annual limits are $.20 per scan. If you are a Business user, receipts over your Monthly or Annual limits are $.15 per scan. A month is defined as the date you signed up through the day before that date in the next month, and continuing forward. If you signed up on June 20, for example, the first monthly billing period would be from the 20th through the 19th of July. Receipts are charged based on the day they are received by Shoeboxed. The monthly limits are applied to annual plans as well as monthly plans.

Mailing

To ensure the fastest and most reliable shipping and scanning, please flatten all receipts business cards and remove all paper clips, staples, taping, and backing paper before mailing your documents. Also please note that you are responsible for sealing your envelope properly, and you understand that overstuffing your envelope may make it more likely that your envelope is damaged in the mail.

You may not send in receipts or business cards for another user. If Shoeboxed determines that you have sent in receipts or business cards for another user, they will not be scanned or uploaded, and may not be returned unless the original user gives permission. Usage of one Shoeboxed Mail-In account by more than one person without consent of the original user may result in account termination without any full or partial refund.

If you continue to mail receipts or business cards to Shoeboxed after canceling your Shoeboxed Mail-In subscription, they will not be scanned or uploaded into your account, and may not be returned to you unless an agreement is made with Shoeboxed to do so.

You acknowledge that Shoeboxed makes no guarantee whatsoever regarding scanning time or processing time, though the entire process usually takes under 5 business days. Shoeboxed is unable to predict delays, suspensions, or cancellations of services by the United States Postal Service, the carrier of Shoeboxed Mail-In envelopes. Shoeboxed accepts no liability for loss, damage, or inconvenience resulting from delays in shipping or processing, or loss of or damage to receipts or documents during shipping or processing.

You will receive an automated e-mail notification after your Shoeboxed Mail-In envelopes have been received by Shoeboxed, the receipts uploaded into your account, and the receipts sent back to you.

Paper

Shoeboxed will scan receipts, invoices, canceled checks, bills, other financial documents, and business cards. If you send in paper receipts without a Store Name (vendor), Date and Total, that paper may not be scanned or entered into your Shoeboxed account and the data entered may be incomplete. Shoeboxed cannot process letters, lists, manuals, or other non-financial, non business-card documents.

If you send in illegible receipts or business cards, they may not be processed correctly into your Shoeboxed account. You recognize that all receipts and business cards may not be entered correctly into your account, and that Shoeboxed does not guarantee proper tagging or data entry on any receipts or business cards. Internal testing shows, however, that Shoeboxed’s data entry is significantly more accurate than other consumer-level software programs that employ OCR (optical character recognition).

Shoeboxed does not guarantee the accuracy of automatically processed information.

If you send in receipts with notes or other information on the backs, those back sides may not be scanned or uploaded into your account. Backs of business cards, however are scanned and entered into your account, unless they are blank.

Receipts and business cards that are not in English or U.S. Dollars will be scanned, but may not be entered properly into your account.

Receipts with multiple pages will be treated as separate receipts for each page.

If you send in receipts or business cards that need excessive preparation before the scanning process can begin, processing may be delayed or your account may be terminated and payments refunded, at Shoeboxed’s sole discretion. Following the recommendations set forth in the Shoeboxed Mail-In User Guide (http://www.shoeboxed.com/mail-in-userguide.htm) will help ensure that excessive preparation by Shoeboxed Mail-In’s organizational staff is not required.

Security

With regard to security: As long as you keep your password safe, Shoeboxed protects your data so it can only be viewed and accessed by you. Shoeboxed uses 128-bit secure socket layer encryption, the same security that major bank websites use. Additionally, Shoeboxed does not store the personally identifiable information that would be required for someone to steal your identity. Our privacy and security practices are certified by TRUSTe, a leading nonprofit security organization. We do not store credit card numbers, bank account numbers, or social security numbers.

Shoeboxed invests heavily in physical security to ensure that your receipts are safe while they are in Shoeboxed’s care. We have a 24/7 security system and double-lock doors. All of our employees undergo a thorough background check and extensive training before they begin work at Shoeboxed.

For your security, do not mail in receipts that have full credit card information printed on them. If any such receipts are received, they may not be scanned or uploaded to your account. The Federal Trade Commission mandates that retailers cannot print receipts with more than the last 5 digits of a credit card number. If more numbers are printed, we may not scan those receipts.

You acknowledge that Shoeboxed Mail-in service is provided “as-is” and may not meet your expectations or requirements. In the extremely rare event that this should happen, Shoeboxed accepts no liability for any loss, damage, or inconvenience resulting from your use of the Mail-In service.
